We may decline use of our service or suggest alternative support if we feel that we cannot support you, either due to the nature of your problem, our client lists being full - lack of a consultant to suit your specific need, or if you are suicidal, self-harming or suffering mental health crisis. Where possible we may suggest alternative support, face to face therapy or that you contact the emergency services. Your well being is of paramount importance and you deserve to receive support that is best suited to your needs.
All material is free for clients and site visitors. Articles are available to provide information only. We are not responsible for any material that is authored by anyone else other than RFCL. For tailor-made support use our coaching sessions and receive coaching from us.
We ask that you add our contact email addresses to your email contacts, also check your spam/junk folder for any correspondence. You may have read in the media that the older Hotmail and Yahoo accounts do at times have issues receiving/sending email. So we advise that use or sign up for the more stable and secure Gmail.
Hours of service
Booking requests and enquiries can be sent through contact form at any time. All coaching sessions, admin and enquiry support is available on Tuesday to Saturday, at 10:00am to 17:00pm(UK time), 19:00pm to 23:00pm (Japan time). All coaching sessions do need for the time and date to be pre-arranged.
We require that all clients ensure full payment is made 12 hours before the session times and/or dates. We respect your privacy and do not request any private financial information without your consent. Payment is to be made via PayPal, this is the preferred and most secure payment gateway. You do not need to have a PayPal account to do this, since all major credit and debit cards are accepted by PayPal. Sessions can also be paid for via pre-arranged direct deposit and online or telephone banking. You may contact us to arrange this. No VAT is currently being charged for any services.
Special offers may only be available for a limited time and can be withdrawn at any time.
We are happy to accept preferred session times/dates, we aim to ensure that sessions are booked at a time most convenient for the client. However, requested sessions slots are provided subject to availability. We request that clients book as much in advance as possible and provide multiple availability time frames. The RFCL operates on a first book first serve basis.
Existing clients may book session times and dates directly via email. Existing clients may also book their next appointment during a session with their Consultant. We request that you make your payment 12 hours before each session. We may cancel your appointment if we cannot confirm your payment by 12 hours before the appointment date and time (See “cancellation policy”).
*If you make an appointment and set a date/time for your next session but do not make your payment by the time, or to cancel your reservation without notice, you're still liable to make payment as the slot was allocated to you. This means another client would be unable to have a session with your Consultant at that time. It also has a major effect on the Consultant's time which could have been spent supporting someone else, or they could have been able to be off from work.
Overseas clients - All clients over the world are welcome to use our service. Our email, text chat, phone call and video call services are all conducted via the internet.
We believe in strengthening the bond with Consultant, you will be supported by the same Consultant throughout your time with us. This will also save you from having to repeat your story. However, if you feel uncomfortable with your Consultant, you can request to change your Consultant. Also, we may ask you to change your Consultant on some occasions (i.e. sick leave of Consultants, resignation, etc) temporarily or permanently.
Clients can select either 25-minute or 50-minute session. We use LINE, WhatsApp, Google meet and Zoom for coaching sessions. Text chats, voice calling, or video calling can be available.
If you have made initial contact and have also received a welcome email from us regarding your booking date/time you will have a further 3 days to respond to our welcome email to confirm your booking. If you have not made contact within that time period your session will become invalid. Existing clients can book their sessions directly with their Consultant, or at the end of each session.
Session validity is the same for all clients. There are no refunds for invalid or expired sessions.
While coaching sessions provide the space for clients to work through difficult feelings and emotions, Consultants and Admin staff will not accept threatening or abusive behaviour towards them. Such behaviour may result in the session ending and the client being liable for the full session cost. Future sessions may not be permitted.
Clients and site visitors are not permitted to attempt to damage the website in any way through the introduction of viruses or any form of malicious or technology. Details of any breach of this will be forwarded to the relevant authorities.
The conduct of our staff is just as important. RFCL team members are carefully selected, this is to ensure that clients receive services of a high professional standard that are ethical, confidential and safe. Our Consultants have significant post-qualification experience, as well as broad life experience. This better equips them to provide our diverse client group with the personal touch, as well as understanding and a naturally warm approach. We promote anti-discriminatory practice. We believe in providing care and compassion to everyone, regardless of their backgrounds. We welcome your feedback and your communication.
It is very important and a matter of mutual respect that you keep your appointments. All clients need to understand from the outset that we are unable to fit another client into your missed appointment slot at short notice. If for any reason you need to cancel/reschedule an appointment you will need to provide us with at least 12 hours' notice. Any cancellations with less than 12 hours' notice are chargeable for the full session fee. Being unavailable for any session without informing us will also incur the full fee for the session you have booked. If we cannot confirm your payment by 12 hours before the session, we may cancel your appointment with charging the full session fee.
We recommend that you are available for your session at least 5 - 10 minutes before the agreed time. Please ensure that your status is set to online/available. We cannot advise any problems of your network connection.
Sessions start right on time. If you will be late in any way contact your Consultant via email before your session time. If you have not contacted your Consultant prior to your session and are late, offline, engaged, away or unavailable at the exact agreed session time, your Consultant will be cut off from the chat, voice or video session, after which you will receive an email cancellation notifying you that you have incurred the full fee for the session.
If the session is disconnected due to poor network connections of our site within initial 10 minutes, we cannot refund, but we will reschedule the session for free. If the disconnection is due to client’s network problems, we cannot refund. We will charge another full session fee when you reschedule the session.
Disclaimer and Liability
Rainbow Forest Centre London holds no liability if the connection to the website becomes unavailable. We do not warrant that our website, its functioning or the content made available will be timely, uninterrupted or error-free or that our website and the servers that make our website available have 100 per cent uptime. In no event will we, our respective content or service providers, or any of our respective directors, contractors or employees be liable to you for any direct or indirect damages, losses or causes of action.

We may periodically make changes, improvements and/or updates to the materials, articles, and site content without notice. You agree that you are at least 18 years old or you are a primary care giver of the child aged 18 years and under who will receive our service.
You agree that you (or your child) are not experiencing a suicidal crisis and are not at risk of harming yourself or anyone else.
You understand that online coaching session is not suitable for mental health crisis.
You agree that Rainbow Forest Centre London cannot be held responsible for providing services in the event of a crisis or emergency situation. While we will do our best to assist as appropriate if a crisis or emergency develops during our work together, you may need to contact the appropriate emergency services.
You agree that you will be responsible for providing information about use of our service to your psychiatrist if you regularly visit psychiatrists or you are prescribed medications by psychiatrists. For the clients who received our service in the UK, we cannot provide any advice about medications and your psychiatrist’s treatment plan.
You agree that online services may not be as effective for all individuals. Thus, Rainbow Forest Centre London reserves the right to choose whether or not to work with you online. We will work with you only if we feel that you are a suitable client. If during our work together, we discover that you may not benefit from our online services, we will discuss this with you and suggest that you seek alternative mental health professionals in your local area.
You agree and understand that the effectiveness of coaching depends on the investment of time and energy you are willing to make.
You agree and understand that coaching can be challenging, as uncomfortable emotions and thoughts can arise as part of the treatment process.
You understand that it is your responsibility to make your payment by 12 hours before your session time/date.
You understand that we are happy to accept your preferred session times/date at the time of booking but your requested sessions slots are provided subject to availability. You will receive a confirmation email with session time/date details or alternative times or dates will be provided for you to select from.
You understand that Rainbow Forest Centre London cannot guarantee a positive coaching outcome, even though we are hopeful that our work together will be of help to you.
You agree and understand that once purchased, all session fees are non-refundable, including when you have missed, been late for or have expired sessions.
You agree that you are seeking our services for personal coaching and that you are not using any of our services or material to undertake research for either private use, use for study/projects/assignments of any kind private or public, or in an educational or training capacity, or for publication, or to plagiarise any of our material.
You agree that your participation in our coaching services may only be shared for your personal benefit. You agree that your participation will not be shared for any other reason or in any form, be it recordings, transcripts, copying or reporting of or on the experience, your impressions thereof, surveillance and any other use of the session, verbal or otherwise, without your consent. You agree to not record or tape sessions.
You understand that all special offers can be withdrawn or modified at any time.
You understand that any use of free self-help material, recommended books, CD’s or DVD’s are not a replacement for professional therapy or diagnosis.
You agree and understand that it is your responsibility to acknowledge the appropriateness of the information contained in the self-help material. While Rainbow Forest Centre London takes careful consideration when sharing self-help material, we cannot be held accountable for any misguided content contained within free material.
You agree that if you are disconnected during a session that you will email your Consultant as soon as possible and also check your inbox for correspondence from them.
You agree that if you do not hear from your Consultant at the agreed session time you will email them within 5 minutes of the agreed session time.
You understand that we do not hold any liability for technological glitches that can take place with chat, voice calling and video calling sessions neither reception issues with mobile phone. You understand that we do not hold any liability for emails that we've sent and due to the recipient's technological errors or device issues are unable to be received. You understand that we are not responsible for issues with Yahoo, Hotmail, Gmail, Live and other email account delays, errors or downtime which cause problems with you sending/receiving emails. However, any glitch or mishap on our part will not be at the client’s loss - clients will receive all of the session time which they have paid for.
We are not in the position to write reports on progress made in coaching by way of request from external agencies, for e.g. Social Services or NHS. We provide a duty of confidentiality to our clients. Consultants provide distance sessions online, so they do not get to see their clients and are unable to fully assess or verify certain needs, for e.g. physical needs. However, in some circumstances and at our discretion, along with consent from the client who would be currently using the coaching service, we can provide brief information that confirms the client is a user of the service. We may include how long they have had therapy for.
Rainbow Forest Centre London reserves the right to resist legal requests to produce records in court. We do this in order to protect our duty of confidentiality to all clients and to preserve Rainbow Forest Centre London’s reputation as a provider of confidential coaching.
With regards to clients who receive our service in the UK, we are unable to provide records or information for legal proceedings when asked by clients, their solicitors, the police and the courts unless a Subpoena ordered by a UK court is ordered. The basic information that is held temporarily, is not suitable as evidence in legal proceedings.
With regards to clients who receive our service in Japan, we are able to provide records or information for legal proceedings asked by clients, their solicitors, the police and the courts only with consent of clients. Disclosing client record fees (£50) are applied.
You permanently agree to release and indemnify Rainbow Forest Centre London from all suits, lawsuits, claims and actions originating from coaching provided through Rainbow Forest Centre London.

Rainbow Forest Centre London uses a secure system for online coaching, protecting the information that is collected. All email and contact forms are encrypted. All text chats, voice calls and video calls are confidential. Furthermore:
All email accounts are fully encrypted. If you send an email to our email address, only we will have access to it.
Voice and video calling sessions are never recorded. Text chats on LINE are deleted within a year after the session. Movies or photos on LINE are deleted within 2 weeks, so are files within a week. WhatsApp messages are not deleted automatically. Texts on Zoom are deleted within 1 months. Any text chat on LINE, WhatsApp and Zoom can be deleted as soon as the session ends on your request. Text messages on Google Meet are not recorded.
All phones, tablets, laptops, or storage devices required to conduct or aid coaching sessions have anti-virus and/or double password protected locks.
The summary report of your each session and your personal data are saved on a secured cloud software of patient record. Only our PCs encrypted by digital certificate can access this software. These PCs are usually placed in offices both in the UK and in Japan which are secure with 24/7 security service.
When possible, Rainbow Forest Centre London will advise clients of confidentiality and the importance it has on the individual coaching sessions. Any discussions during coaching sessions will be strictly confidential.
Your sessions, however, may be shared with other staff in Rainbow Forest Group (Rainbow Forest Clinic, Rainbow Forest Daycare Centre, Rainbow Forest Centre) on the purpose of training for Consultants. Also, each Consultant may seek for discussion at the company’s regular conference with other Consultants to improve their coaching sessions. Personal information shared through trainings and conferences are also strictly confidential to external parties.
With the signed document with the consent of the client, we will register your data into our anonymous database for future research conducted at all sites in Rainbow Forest Group. If the client is 18 years and under, we need the assent of the client and the consent of their primary care givers. We may use the database for research purpose. The client is not forced to agree with this.
If your sessions are paid for or arranged via a third party, e.g. a friend, partner, spouse or family member, other than payment requests, invoices or receipts your coaching information will not be shared. Details about what is discussed in your sessions are not disclosed to a third party who arranged the session without the consent of the client (person receiving coaching).
Your sessions may be paid for or arranged by a third party, such as a friend, partner, family member, employer, company, charity or organisation. Your consent is required. The only information that will be shared with your approved third party is payment requests, invoices, receipts and confirmation that your coaching sessions are taking place with RFCL. Details about what is discussed in your sessions are not disclosed to the third party without the consent of the client (person receiving coaching).
All work is to the highest ethical standards. Rainbow Forest Centre London will only disclose information if necessary, for e.g. if the person either Consultant or client is at risk of harm we are then required by ethics to seek advice and guidance from other professionals. We would, of course, try to discuss this beforehand with you to obtain your assent. We may also disclose information if there is a suspected case of child abuse or alleged child abuse, known or suspected case of adult or elder abuse. If Consultant receives information, regarding a proposed or actual act of terrorism, he/she is required to share this with the police. Upon receipt of a subpoena, from a judge in a UK court of law, your Consultant will be bound by British Law to release any information.
Information - collection, accessing and deleting
Rainbow Forest Centre London will only ask for information that is considered necessary for the effectiveness of online coaching. A service where you have the option of being able to use another name for the purpose of online coaching is offered. You may use a name you feel comfortable with, the choice is up to the individual client.
Collection of information
We do not require personal data such as race, sexual orientation, political opinion or religion.
Date of birth will be required only when the client is 18 years and uner.
Your email address, that you initiate contact form, will be required as a form of contact in order to make appointments. However, we do not require identification such as a passport or a licence etc. Before online sessions begin, the client messenger ID, telephone number, or contacts etc. as well as brief details of what you feel you wish to talk about may be submitted. This information is accessed by our team only. The Rainbow Forest Centre London will always ensure basic information is gathered accurately.
The assigned Consultant may choose to keep offline information about their client's session time/date to stay organised. The information held by the Consultant is stored at least for 5 years.
Disclosure of information
Your telephone number, messenger ID or email address will not be shared with any outside agencies or third parties.
We do not request proof of income or financial status, special offers are available to all. We do not request banking and financial information, no card payments are taken via the phone or on the website. Purchases for coaching sessions are made securely via the PayPal payment gateway. You can check your purchase history with them directly, they generally send email receipts after each purchase. You may also wish to view transactions by logging into your PayPal account if you have one.
Access to information
You are welcome to request any information we hold about you. To request any information, please contact us, we ask that you allow 30 days for the request to be fulfilled. Please note that we hold basic details for up to 5 years after your last purchase.
Deleting your information
Within 5 years of last your session, all details will be destroyed. (There may be some rare instances where it is kept in secure offline storage for up to 7 years). If you would like those details to be removed before 5 years please contact us to make that request, we ask that you allow 14 days for that request to be fulfilled.
